- Duties:
The general duties for this position will be to perform a wide variety of secretarial and administrative tasks under the supervision of the Associate Dean and Director of Student Services. This position is responsible for overseeing and maintaining a professional, orderly, efficient and friendly office environment.
Other responsibilities are:
- Provide general secretarial support to the Associate Dean and Director of Student Services.
- Receive all visitors.
- Ensure that the department office is properly staffed during office hours.
- Properly maintain confidentiality of all sensitive information.
- Maintain and revise database with professors and course information.
- Develop, organize and manage databases for student attendance records.
- Assist with student evaluations of faculty and coordinate distribution of analysis to administration and faculty.
- Assist in processing applications for student workers and research assistants; process their timesheets.
- Oversee the collection of course syllabi, liability insurance forms and other documents required by the University.
- Schedule and make arrangements for faculty colloquia (grant presentations)
- Collaborate with the Director of Student Services in writing, updating and printing various student and adjunct publications.
- Assist the Associate Dean with transferable course credits of students.
- Assist with commencement preparations and ceremonies.
- Update and maintain accurate information regarding joint degree programs and participants.
- Communicate with faculty members concerning matters of policy, student in academic or other difficulties and other sensitive personnel matters.
- Schedule appointments and keep abreast of the Associate Dean's schedule and travels.
- Required Qualifications:
- A high school diploma.
- A minimum of three to five years experience in a professional setting.
- Ability to take initiative with employers.
- Capacity to properly maintain confidential of sensitive information.
- Must have strong interpersonal and communication abilities to interact with students, all levels of university employees and the professional community.
- Must be able to pass tests showing basic competency skills in basic arithmetic, computer knowledge, English language, English spelling and vocabulary, generic typing and the Microsoft suite (Word, Excel & Outlook).
- Preferred Qualifications:
- Prior higher educational workplace experience.
